Greenfix Exterior Care Account Terms

1. Draft Status

These portal terms are draft operating terms for the Greenfix Commercial Maintenance Portal. They are not legally final and require legal and accounting review before formal use.

2. Account Payment Terms

Unless different terms are agreed in writing, approved account work is billed on 30-day payment terms. A company may also have an agreed monthly payment date recorded by Greenfix.

3. Account Limits and Approval

Greenfix may set account limits and must approve a company for account work. Companies should not be able to submit account jobs until draft terms have been accepted and Greenfix has marked the account as approved.

4. Job Authorisation

Only authorised company users should submit, approve, dispute, or otherwise manage jobs through the portal. Companies are responsible for controlling which staff have portal access.

5. Site Access

The client is responsible for providing accurate site access instructions and, where relevant, arranging access with the site contact or facilities team. Failed visits or delays caused by unavailable access may be chargeable.

6. Completion Proof

Greenfix may upload images, notes, and other evidence as proof of completion. Job proof may be stored in the portal for operational, billing, and dispute-resolution records.

7. Approval and Disputes

Clients should review completion proof promptly. They may approve the work or raise a dispute during the configured dispute window. Client approval of completion must be timestamped.

8. Dispute Window

The default dispute window is expected to be configurable. If future auto-approval is added, it must be clearly documented, configurable, and visible to both Greenfix and the client.

9. Cancellations

Cancellation rules should reflect notice period, travel, labour, materials, and third-party costs. Final cancellation wording must be reviewed before use.

10. Waste Disposal and Extra Charges

Waste removal, disposal fees, parking, access equipment, emergency callouts, or out-of-scope work may be charged where applicable and agreed or reasonably required.

11. Late Payment and Suspension

Late payment may result in reminders, overdue account status, paused work, account suspension, or other recovery steps. Any charges or enforcement steps require legal/accounting review.
